Brooklyn, NY Full Time

Capable, well-rounded Office Assistant needed for busy Brooklyn cleaning & extermination service with expanding client base. Must have solid office, computer and communication skills for global office support and be a polished professional when dealing with clients, city agencies, non-profits and major managed care providers. The ideal candidate will be part office manager, part bookkeeper and part customer service rep. You are calm (under pressure), patient, focused and great with people. You enjoy a challenge and love to multitask. You must live in Brooklyn or be able to commute.

Background in cleaning/janitorial services, managed care, QuickBooks or medical billing preferred but not necessary - we can train the right person.


Support office and field staff in daily operations.
Maintain case files, records & documents, file forms & coordinate internal & external staff and crews with provider representatives and clients to expedite work flow.
Book service visits & maintain office calendar.
Enter & update case files and company records in our internal CRM
Prepare & distribute reports, proposals, documents & spreadsheets.
Receive & direct phone calls; greet visitors and liaise with staff, clients, agency reps & others via correspondence & email; maintain contact lists.
Provide superior customer service and respond to client complaints and concerns
Bill, reconcile and pay vendors in QuickBooks. Pursue delinquent accounts.
Manage & order office supplies & liaise with vendors
Scan, copy, fax and monitor office equipment


At lease 2 years of office experience with broad-based responsibilities
An Associates Degree or equivalent experience
Basic office skills and familiarity with office practice, materials & equipment
Basic computer skills, including MS Office, data entry, Internet and Adobe skills
The ability to stay calm under pressure, think fast and problem-solve
Strong interpersonal and communication skills
Strong project management skills
Be well-rounded, versatile and able to multitask
Be organized, professional, polished, responsible and focused
Be a fast learner willing to learn
Must live in Brooklyn or be able to commute


A Bachelor’s degree or equivalent experience
Background in Environmental Services - Cleaning, Janitorial, Maintenance or Custodial Service; Extermination, Home Remediation, Laundry, or related field
Background in Managed Care, Home Health Care or related industry
Experience dealing with major insurers, city agencies or non-profits
Background in customer care or help desk support
Proficiency in QuickBooks
Experience with CRM’s or other internal software packages
Knowledge of medical billing – ICD-10 coding, DME, filing, authorizations, verifications, EOB’s
This is a growth opportunity with a name brand company. Salary is $21K – $26K annually with performance raises and benefits including commuter reimbursement and health plan
