Executive Assistant
Job Location: Edison, NJ
Position Summary:
The Executive Assistant will provide high:level administrative support for our Executive Management The Executive Assistant serves as the primary point of contact for staff, investors and business leaders.
The Executive Assistant works under the direction of the SVP and supports the overall day:to:day needs in the office.
In addition to written correspondence and heavy scheduling demands, the Executive Assistant will coordinate agendas for internal and external meetings, manage domestic and international travel arrangements and work on special projects assigned by Executive Management. The Executive Assistant will handle non:routine correspondence and highly confidential and sensitive information
Major Responsibilities:

Manages and coordinates Executive Management's calendars. Schedules meetings, conference calls, travel arrangements and prepares Executive Management with required materials for such events. Make all logistical arrangements (i.e. flights, accommodations, transpiration, and other reservations)

Attends meetings and record, type and distribute meeting minutes. Conducts follow:up with meeting attendees as needed. Prepare letters, thank you notes and other correspondence

Coordinate with the Office Manager on office:wide events as directed by the Executive
:
Maintains and updates email and filing system for Executive Management.
:
Reviews incoming emails and screens inbox for priority messages. Answer phone calls and direct calls to appropriate parties or take messages. Assist in preparing materials for Board meetings and professional seminars

iaises with other departments, including senior management, on Executive Management's requests and priorities.

Maintains open:door policy with Executive Management (no gate keeping) while providing appropriate follow:up regarding pending items.
:
Types and designs general correspondence and memos. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

Collects business travel receipts and provides travel expense reports to the Accounting Department.

Provides occasional administrative support for other senior managers when needed,
Qualifications:

Strong knowledge of Microsoft office tools

Excellent organizational skills
:
Ability to work in a culturally diverse environment
:
Success factor and concur experience is preferred
Prior Experience and Education:
:
Minimum of 4:5 years' experience in the same role
:
Bachelor's Degree required
