The Administrative Manager will oversee day to day management of the Clinical and Administrative Practice. This positoin reports to the Chief of Cardiac Pediatric Surgery and Divisional Administrator while working closely with faculty and staff.

Responsibilities include but are not limited to:
Manage patient flow
Oversee secretarial and NP/PA staff activities; Maintains vacation calendar and arranges coverage for support staff as necessary, to monitor staff availability.
Oversees 4 Physician offices
Assist with all aspects of staffing and human resources including but not limited to: recruitment, pre-screening, hiring, orienting and training, evaluations, disciplinary and termination issues and ADP approval
Oversee front-end revenue cycle functions including registration, insurance verification, referrals, authorizations, charge entry and copay and small balance collections.
Closely monitor and improve missing charges, charge pending, unfinalized notes, Meaningful use metrics and assist in lowering the Front End rejections.
Implementation of customer service initiatives and training
Manages clinician reappointment, licensure, DEAs and enrollment into insurance plans. Provide reports of all activities to administrator as required.
Advise staff of metric standards and ensure understanding of expectations.
Serves as reference to and introduce to clinicians and staff, operational policies and procedures and practice related information.
Orders supplies, business cards and stationary.
Prepares and submits reimbursements to finance office.

Administrative Assistant Responsibilities:
Responsible for the day to day management of the Pediatric Cardiac Surgery office.
Coordinate and schedule all the activities and maintain Chief of Cardiac Pediatric Surgery; conferences, meetings, travel, itineraries, lectures etc.
Responsible for all internal and external communications, including the preparation of confidential correspondence and transcriptions.
Answer phones for physician in a pleasant/responsive matter.
Appropriately take messages and route via email.
Appropriately route phone calls (do not blind transfer).
Retrieve messages from the answering service and voicemail on a daily basis.
Schedule appointments using IDX and ensure that all demographic and insurance information is captured.
Verify patient insurance at time of making appointment using IDX-Interactive Eligibility and MPV. Inform patients if MD is non-par and discuss office fees.
Ensure appropriate patient's have HMO referral at time of making appointment.
Ensure MD completes all charges, medical notes and signatures within 24 hours of office hours and procedures. Obtain any missing information from MD.
Mail new patient paperwork ahead of appointment for proper completion.
Ensure referring MD information is updated for each patient.
Obtain referrals, authorizations and pre-certifications for all office visits and outpatient testing, where needed.
Scanning of patient related documents and charts in a timely manner.
Transcribe physician dictations efficiently and in a timely manner.
Maintain a neat and orderly working area.
Attendn staff meetings as required.
Provide coverage for other secretaries as needed.
Assisting the Division Administrator in various other projects. Other related duties, which may be inclusive but not listed in the job description.

Bachelors Degree and five years of related experience or the equivalent in education, training or experience.

Excellent communication skills, with advanced knowledge of personal computers and IDX/Flowcast. Excellent organizational, office skills, analytical ability and attention to details required. Knowledge of medical terminology, IDX and Crown required. Typing 60 WPM.

Masters degree preferred
