Assistant Office Manager -- Part-Time Leading to Full Time Who we are Skills/Qualifications ⢠See the big picture but still handle all the details ⢠Able to "get the job done" with minimal direction ⢠Prioritize and delegate to several assistants reporting to you ⢠Good at time management, follow through, with attention to detail and high degree of accuracy ⢠Has a "can do" upbeat positive attitude ⢠Responsible, dependable, autonomous, yet willing to take direction ⢠Creative problem solving abilities; must be able to anticipate problems and plan ahead ⢠Driven, smart, committed, fast learner, proactive, strong initiative, organized professional with a sense of urgency ⢠Work under pressure while being patient, responsive, tactful ⢠High standards; a perfectionist with a "no mistakes" attitude but fast in completing work ⢠Able to visualize and anticipate needs ⢠Passionate for success; a hard-worker with the hunger to support a growing company ⢠Flexible to work extra hours and/or weekends occasionally ⢠Team player ⢠Has a sense of humor ⢠Innate sense of design or "what looks pretty" ⢠Superior written and verbal communication skills ⢠Good computer skills, proficiency in Word, Excel and Outlook ⢠Exceptionally good handwriting skill ⢠Pleasant phone manner and tone ⢠An excellent communicator, completely fluent in English (speaking and writing) ⢠High degree of professionalism ⢠Polished manner and appearance ⢠Excellent interpersonal skills ⢠Proficiency in Excel, Word and Outlook. ⢠Knowledge of FileMaker Pro a plus Experience ⢠Required: 10-15 years or more of Office Management or Other Corporate Managerial experience ⢠Required: 4 year college with a BA or BS degree, in business or marketing a plus; MBA a plus ⢠College degree in business or marketing a plus ⢠Having an MBA is a plus ⢠Interest in real estate is a plus, though not necessary ⢠Proficiency in Excel & Word & Outlook -- you will be tested ⢠Touch-Typing skill greater than 40 wpm (do not apply if you only hunt and peck) ⢠Event planning skills a plus Responsibilities ⢠You will be the "Quarter Master" of our ship ⢠Handle all Admin. functions relating to office management & maintaining office records ⢠Understand general business operations. ⢠Analyze data/ know how to think about the business and get the info you need ⢠Personnel � � Hire, train, supervise, and fire several assistants; manage assistants' payroll; organize on-boarding of new employees; maintain proper employee files & I-9 Binder ⢠Be the Fire Warden for the floor. ⢠Office Maintenance � � ⢠Maintain order and cleanliness in the office; interact with build maintenance & other vendors. ⢠Oversee office equipment maintenance and service ⢠Order all office supplies and food and manage inventory ⢠Compare pricing between vendors; replace vendors as needed ⢠Prepare food for the snack bar each day, putting out an attractive spread & clean up the pantry each night ⢠Maintain the plants - watering weekly and re-potting when needed Compensation Based on experience Possibility of full time with good performance reviews Reply to: Reply to .
