Space Exploration is an architectural design firm founded in 2008 specializing in residential and commercial interiors.

We are seeking a full time freelance Director of Finance and Operations to join our team based in Greenpoint, Brooklyn. The Director of Finance and Operations will work closely with the Principal, and plays a large role in organizational decision making and strategic planning. Primary responsibilities include:

> Work with the Principal to develop and maintain an organizational budget, as well as individual budgets as needed for office operations.
> Maintain QuickBooks (including, but not limited to, A/P, A/R, bank deposits, petty cash tracking, bill payment, bank & credit card monthly reconciliations, etc)
> Maintain Harvest Time Tracking and create a weekly meeting with the Principal and PM’s consulting on billable project hours
> Generate invoices from Harvest Time Tracking with detailed hourly reports for all client invoices
> Send out invoices to clients and act follow up on questions and collections bi-monthly.
> Prepare a monthly financial report for review with the Principal to include: cash flow, bank & credit card statements and reconciliation, etc)
> Prepare and supervise materials for quarterly tax submission
> Work with the Principal and PM to create budgets & proposals for new projects

Calendar & Correspondence
> Maintain and manage the office calendar and the Principal’s calendar, field and organize internal meeting requests
> Read, write and follow up on correspondence with the Principal
> Coordinate and book travel for Principal and staff as needed

Human Resources
> Manage and distribute Bi-monthly payroll
> Draft and implement employee contracts as needed
> Track all employee and contractor paperwork
> Liaise and coordinate benefits package for staff when applicable
> Hire/supervise administrative assistants and interns
> Track vacation and sick days

Office Management:
> Track/order office and maintenance supplies and equipment
> General supervision troubleshooting for IT, computer or phone issues
> General upkeep of facilities, printers, security system, shared space
> Anticipate needs for in-office client meetings: cleaning, refreshments, etc.
> Send and receive all snail mail, packages, couriers, FedEx, UPS, etc.

>2+ years administrative or receptionist experience, preferably in a creative environment;
>Professional demeanor and clear, articulate speaking voice
>Proficiency with Microsoft Word, Excel, Harvest, Quickbooks, Gmail
>Excellent written and verbal communication skills
>Ability to multi-task and perform well in a fast-paced environment
>Ability to work well with others in a team environment
> Reliable self-starter with an ability to take initiative and work both independently and as part of a team
>Associate or Bachelor’s degree in business or related field preferred
>Architecture/Design industry interest and/or exposure a plus.

Position is in-office, full time freelance however if you are a candidate with other consulting work or family obligations we are flexible and open to discuss alternative scheduling. Pay is commensurate with experience.
