Executive Assistant to the President & CEO


The primary role of the Exec Asst. is to manage day-to-day activities thereby allowing the President & CEO to increase his productivity and to concentrate on strategic and added value projects. The individual serves as a liaison between the President & CEO and the board of directors, high net-worth individuals, foundations, government officials, school principals, staff, and artists.

Possess a keen sense of responsibility and composure.
Maintain decorum, discretion, confidentiality, and poise that are appropriate for the office of the President & CEO.
Understand the President's job, where he adds value and his top priorities. Proactively provide support in direct alignment with his priorities.
On behalf of the President, follow up to insure deadlines are met and assist with assigned projects (i.e., data collection, analysis, summarization, reporting, documenting and improving business processes.)
Screen incoming calls to the President, determining nature of call, taking messages and maintaining message log, prioritizing outside contacts (e.g., incoming calls, e-mail messages, etc).
Maintain a callback sheet and to-do list tracking items that require action, referral, response, or follow up, including items of a sensitive or confidential nature.
Do a wide variety of support functions (e.g. filing; coding invoices; scheduling; administer Petty Cash, answer main switchboard, and prepare expense reports, timesheets etc).
Maintain corporate records (leases, contracts, purchase agreements, blueprints, by-laws, meeting minutes, etc).
Edit internal/external correspondence, spreadsheets, charts, presentations, and ensure completeness with attention to detail on accuracy, grammar, composition, formatting, and analysis.
Attend meetings to take notes and issue conference reports with action plans to ensure completion of tasks in a timely manner.
Manage facilities (e.g., order supplies, coordinate cleaning service and equipment repair).
Work on special projects to meet the needs of the organization

Must be a proactive, independently, and responsible with a willingness to find work without it having been assigned and perform daily/weekly/monthly support tasks, following calendar of deadlines without reminders.
Advanced MS Office skills including superior Excel and PowerPoint ability
Must be able to work with remote instructions to support busy executive out of the office
Excellent business writing skills
Proven track record handling confidential and private information
Willingness to pitch in at all levels including operations

Bachelor's Degree
6+ years of post-college administrative experience
An interest and knowledge of art, NYC Public Schools, and visual art education
Hours: This is an exempt position 9:30am – 6pm, 37.5 hours per week. This position may require occasional late night and weekend work.
