Medical Office Receptionist for Physical Therapy/Hand Therapy Practice

Job Summary:

Present the first impression of the business on the phone and face to face. Provide information regarding the physical therapy/hand therapy practice to current and prospective patients. Help keep the office running smoothly by efficiently scheduling appointments and assisting with billing.

Job Duties:

Welcome patients and visitors by greeting them, in person or on the telephone; answer or refer inquiries
Schedule patient appointments in person or by telephone, notify therapists when patients arrive, inform patients of any delays
Transcribe clinical notes as needed
Request updated prescriptions from patients’ physicians
Follow HIPAA guidelines for maintaining confidentiality of patients’ personal, financial and clinical information
Maintain operations by following policies and procedures
Assist with billing
Prepare patient charts for upcoming appointments

Job duties will be modified as the business requires.


Associate degree preferred
Multitasking ability, flexibility, customer service skills
Time management skills, organization, attention to detail
Ability to understand and operate a wide range of office technology, including word processing
Good listening skills coupled with patience and tact
Politeness, professionalism and a helpful demeanor
Team player
Energetic, with a sense of urgency
Proactive, willing to learn, ability to assume additional responsibility when required
Minimum three years of work experience
