Barry Rice Architects, is seeking a qualified Office Manager/Bookkeeper to support our professional staff and help our office run smoothly. You will work with the principal and be responsible for a variety of tasks. Your full-time role will include a full range of office management duties including:
- Day to day operations: keeping the office organized, order supplies, answer phones, operating as the organization’s gatekeeper
- Human resource administrator, process payroll, onboarding, manage staff, disburse checks, handle reimbursements, benefits, 401K, plan and implement office protocols,
- Process invoices, AR/AP, follow up with clients on invoices, purchase requisitions, business deposits, bookkeeping, bank reconciliation
- Maintain database, official records, catalogue projects, artwork, furniture, architectural models
- Prepare contract proposal, maintain contract administration, maintain project spreadsheet
- Work with senior management with grants, proposals, and qualification packages, proofreading
- Maintain website, manage IT support, software, logistics, maintain electronic office filing, data entry
- Maintain all marketing materials; create proposals, brochures, postcards, prepare power point presentations
- Coordinate events, meetings, agendas, catering, travel arrangements
- Direct liaison between clients, consultants, and vendors

This is a role with significant independence and requires a manager who is a self-starter, schedule-sensitive, and one who is comfortable making decisions. This position requires good interpersonal and presentation skills, office management experience, and strong organizational and problem-solving skills.

- B.A. Required
- Minimum 3 – 5 years of experience working in an Architecture/Engineering firm
Exhibited proficiency with QuickBooks, Word, Excel, and Outlook, Adobe Suites a plus
- Strong Excel skills are a must. Must have familiarity with general accounting software packages
- Demonstrated attention to detail, accuracy and thoroughness
- Strong written and verbal communication skills and the ability to multi-task. Must be detail oriented. Ability to work under pressure and work in a team environment
- Sensitivity to confidential matters
- Willingness to be flexible and to multi-task.

This is a full-time position and salary is based on experience.
