Introduction

The Center for Earth Ethics envisions a world where value is measured according to the sustained well-being of all people and our planet. A program founded and based at Union Theological Seminary in New York, we work to cultivate the public consciousness needed to make changes in policy and culture that will establish a new value system that is based on this vision of the world.

CEE is seeking an Office Manager and Assistant to support Center staff and fellows with day-to-day operations and administrative management across multiple program areas including event coordination, communications and digital media, administration and office management, and development support. We are a small and dedicated team where everyone rolls up their sleeves and pitches in on all projects. The ideal candidate will be interested in handling a wide range of administrative and executive support related tasks, will be exceedingly well organized and flexible, and will enjoy the challenges of supporting a small office of diverse people and programs. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimum supervision.

This position requires a weekly part-time commitment of approximately 15 hours per week with flexibility as to schedule, as long as core position responsibilities are being fulfilled. Our Office Manager spends the majority of that time in the CEE office at Union Theological Seminary (NYC), but also provides support in the field supporting CEE events in and around NYC on occasion.

Role and Responsibilities

Organizes office operations and procedures and performs general office/facilities management duties to include:

§ Design systems for paper tracking and filing
§ Manage incoming and outgoing mail
§ Answer and manage incoming calls, voicemails and other messages
§ Manage the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed and tracked
§ Order and supervise office maintenance and repairs.
§ Manage CEE’s master email list and contacts database; assist with social media posting at the direction of the CEE Deputy Director.
§ Collect and organize receipts and expense reports from the CEE Director and other CEE staff for regular submission to the Financial Manager.
§ Track and manage all CEE-specific accounts and passwords.
§ Greet and provide general support to office visitors.
§ Provide assistance creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness and communication

Organizes CEE events and staff meetings:

§ Organize and convenes weekly CEE call including all meeting/call logistics, developing agendas and meeting materials; recording/transcribing and distributing notes/minutes from the weekly call.
§ Organize and convene other CEE staff meetings as directed, including all meeting/call logistics, developing agendas and meeting materials.
§ Organize and schedule staffing for weekly CEE tea times.
§ Manage CEE master calendar.
§ For CEE-hosted events at Union, secure event space and liaise with Union staff on all event support requirements.
§ Support CEE program staff with program-specific events.

Assists CEE’s Director with daily schedule and duties:

§ Provide assistance managing daily and long term personal calendar, commitments, and travel arrangements (planning itineraries, developing agendas and meeting materials, booking travel, reporting expenses for reimbursement, etc.)
§ Act as a gatekeeper, handling any phone inquiries, voice messages, info@ email inquiries, office walk-ins and otherwise helping to make sure the Director’s schedule and work time is protected and respected.
§ Develop and manage a system for managing the Director’s correspondence files and contacts list, providing assistance drafting acknowledgement letters/emails and personal correspondence and tracking notes relevant to each contact
§ Other administrative tasks as needed.

Provides other daily support to staff as needed.

Qualifications

§ Graduate or candidate for a Bachelor's degree or equivalent scholarship/training
§ Prior office work experience is a plus
§ Proficiency with MS Office software, social media, and Wordpress a plus
§ Experience with social media, specifically Facebook and Twitter
§ Excellent organizational skills; highly motivated, dynamic, detail-oriented people persons preferred
§ Ability to be discreet and maintain confidential information
§ Excellent communications and interpersonal skills
§ Must be strong at multi-tasking, able to take initiative and ownership of projects, and comfortable working in a fast-paced, sometimes unstructured environment
§ Goal-driven and results-oriented with a strong commitment to fighting climate change
§ Interest in CEE’s mission and vision of the world


This is a contract position that pays $1500/month.
