Highly intelligent, resourceful, reliable individual with exceptional communication skills and organizational ability needed to support very busy successful artist. The personal assistant will report directly to the artist, and also to artist’s designees as needed. Extremely organized and focused, the personal assistant takes initiative, excels working independently and within a team. Strong clear communication skills, written and verbal, are essential to the success of working within fast-paced studio environment. Responsibilities:

• Handle high volume social and professional calendar, answering phones and responding to artist’s direct email. Coordination with studio calendar, working with colleagues and outside entities to streamline schedule.
• Exceptional written and verbal skills, superior grammar, editing and proofing skills
• Excellent interpersonal and communication skills
• Assisting with travel, daily local transportation and U.S. and International trips
• Provide general office help as needed in fast-paced, diverse environment.
• An active approach to problem-solving is essential. Handles high volume social and professional calendar, answering phones and responding to artist’s direct email

• Respect integrity of best practices and procedures.
• Work closely with small studio team to ensure works are offered to galleries and clients in a timely and professional manner
• Maintain up to date collector/ gallery contact roster
• Maintain contact database with studio and personal contacts
• Maintain artist’s CV, Resume and bio with up to date information
• CV
• Work with galleries and studio team to identify when exhibition selections need to be made, contracts and images sent and works shipped

• RRegularly run errands as needed

• Maintain / replenish studio supplies as needed
• including groceries
• Oversee/ plan special events and studio visits
• Sort and process mail, respond to personal and gallery inquiries
• Pack and ship books to galleries as needed, personal gifts, correspondence, etc.
• Schedule deliveries of large shipments of antiques to artist’s various estates as needed
• Coordinate frequent travel bookings, including coordinating with galleries and museums for lodging, transportation, etc.; handle logistics and ensure details are impeccable in calendar and with verbal and written communications for same., etc.
• Work closely with vendors and contractors
• Work directly with galleries and designers supplying tear sheets of paintings and marketing materials as needed.
• Liaise with web designer and marketing team to provide accurate artist information including exhibition dates, events, releases and provides text and image assets as needed
• Personal shopping as needed
• Run errands as needed
• Works closely with small studio team to ensure works are offered to galleries and clients in a timely and professional manner
• Maintain up to date collector/ gallery contact roster
• Other duties as needed by artist or artist’s designee to meet studio goals and deadlines
• Takes initiative, excels working independently and within a team
• Strong communication, direct and clear both written and verbal
• See projects through while flexible with day-to-day duties. No task too big or small for you. You are a true team member.

Skills:

• MAC proficiency preferred
• iPhone proficiency to work with artist’s cell phone to update contacts, etc.
• Microsoft Office (Outlook, Excel, Word; Email, Calendar, Spreadsheets, Documents)
• Adobe Creative Cloud (Photoshop, PDF, etc., working in Bridge, saving to server)
• FileMaker Pro (we are willing to train candidate extremely proficient with databases)
• File Transfers (Drop Box, FTP, etc.)
• Knowledge of content management systems such as FileMaker Pro and Outlook Contacts
• Calm and focused under pressure
• Flexible schedule, willing to take on a range of tasks, big and small
• Meticulous attention to detail
• Extremely organized and focused
• Discreet with sensitive and confidential information

Bonus:
• Experience working with successful artist or working in a creative environment

• Interest in art and antiques
• Knowledge of cataloguing art and antiques, auctions, online bidding, auction houses

Must currently live in NY and be available immediately to commute to Sunset Park, Brooklyn.

Compensation commensurate with experience.
