Prominent New York gallery is seeking a full-time executive assistant to work with the president of a contemporary Chelsea gallery. Candidates must hold a bachelor’s degree with at least two years professional administrative experience in a similar capacity. They must be a multi-tasker, organized, detail-oriented and able to excel in a fast-paced environment.

This position is full time, Tuesday to Saturday, (Monday during installation weeks and some weekends).

Primary responsibility is providing general back up to the Owner/President and includes the following:

- Schedule/confirm appointments, and organize President’s calendar
- Liaise with artists and clients on behalf of President as needed
- Draft President’s correspondence and ensure timely follow up
-Managing and booking all domestic and international travel arrangements (flights, accommodations, visas, etc.) and generate detailed itineraries
- Provide support to President while traveling as needed
- Any other duties as reasonably required by the President
-Assisting with secondary market presentations and research
-Answering phone calls professionally and directing them accordingly & take detailed messages as needed
-Organizing and attending meetings, and ensuring the President is well prepared
-Providing additional administrative support to President and Directors of gallery as necessary

Candidates must possess the following qualifications:
- Be extremely detail-oriented and organized
-Must be able to take accurate dictation at quick speeds, and format into professional and polished e-mails.
-Must have superior typing skills of 65+ words per minute.
- Excellence at multi tasking and meeting deadlines
- Ability to anticipate and meet the needs of President
- Be proactive and persistent in seeking out more information or clarification, where necessary, in order to complete projects in a timely manner
- Excellent follow-through
- Demonstrate initiative and ability to “self-manage”
- Collegial, flexible, calm and poised under pressure
- Strong office computer skills including specific knowledge of Macs, Microsoft Word, Excel, Artbase and Adobe Photoshop
