Complete Description Under the direction of the Director, Medical Staff Relations this position is responsible for Administrative: Provides administrative support to the Medical Staff Services Department and the Medical Staff Leadership. Supports assigned medical staff meetings through preparation of agendas, minutes, reports, and correspondence. Responsible for the flow of information between departments, committees, and leadership. Facilitates the work of assigned committees such as tracking unfinished business, forwarding items through the medical staff approval process. Performs as assigned other administrative duties including but not limited to: maintaining ER call schedules, preparing and tracking ballots, managing medical staff dues, developing and updating medical staff policies/procedures, tracking policies through the medical staff approval process and monitoring and tracking medical and AHP students. Assists with special departmental projects as assigned. Credentialing; Performs credentialing responsibilities in an expeditious manner to bring on new physicians and AHPs. Responsible for all credentialing/privilege delineation and re-credentialing/privilege delineation processes ensuring that all credentialing criteria are met, credentialing is accomplished per time requirements, and all members and AHPs are re-credentialed every two years. Responsible for enrollment and/or to provide support of enrollment processes of providers into health plans.Responsible for tracking of physician and AHP proctoring in accordance with medical staff bylaws, as assigned. Serves as a resource related to the Medical Staff Bylaws, Rules and Regulations and policies. Familiarity with regulatory requirements (such as The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), California Department of Public Health (CDPH) Title 22 as they pertain to the functioning of the medical staff. Assists with accreditation, regulatory, and health plan surveys as assigned. High school graduate or equivalent. Graduate of, or completed course work in, a recognized secretarial program. Associates Degree (A.A) or equivalent experience. Medical terminology course/training preferred. Minimum of three to five years secretarial experience in an office environment supporting administrative functions is required. Secretarial experience in a health care setting is desirable. Minimum two years Executive Assistant level experience or credentialing experience preferred. Must possess a high degree of organizational skills and attention to detail. Demonstrated experience in managing multiple priorities required. Excellent oral and written communication skills required. Knowledge of Standard English with effective writing and editing principles and practices. Ability to type 40 words per minute. Ability to work independently on complex and confidential tasks, compose effective and accurate correspondence. Must possess the ability to work independently and solve problems in a busy office environment. Requires high level of independent decision making and problem solving skills. Requires mastery of software applications (i.e. Word, Excel, and PowerPoint) and dictation equipment. Credentialing database management experience, desirable. Professional appearance and demeanor. Maintains confidentiality of information and is reliable, tactful and discreet. Exhibits excellent interpersonal skills in dealing with physicians, co-workers and the public. High degree of initiative, independent judgment and critical thinking skills. Ability to work in a team environment. 8 hour day shifts with 30 minutes meal break, Monday through Friday. Start time varies as required by business needs as established by schedule. Flexible hours as required by job duties and business needs. Occasional attendance required at evening meetings usually 2 to 8 times per year.
