POSITION: Patient Coordinator
REPORTS TO: Physician
JOB SUMMARY: Cosmetic patient care liaison and counselor, effectively, credentials, physician and other practice providers, communicates all costs of surgery, and coordinates surgery and procedure scheduling and information. Tracks consultations, tracks and follows up with patients in a positive, systematic articulate way; reviews marketing and productivity data, and discusses it with the surgeon in a meaningful manner. Initiates and/or implements marketing programs to increase patient awareness, practice revenues and increase patient base. Effectively collaborates and communicates with team members as the lead in all retention, conversion and re-activation activity.
EDUCATIONAL REQUIREMENTS:
? Bachelors degree required
QUALIFICATIONS AND EXPERIENCE:
? Eight to ten years of work experience, with increased responsibility, in a surgical practice, customer service, hospitality, or travel industry
? Experience with practice management software and Microsoft Office applications
? Comfortable using email and interacting with Internet applications
? Excellent written and oral communication skills
? Experience in marketing or sales
? Neat, professional appearance
? Able to understand patient concerns and handle them appropriately
? Able to discuss financial arrangements with patients comfortably
? Proven ability to interact positively with upscale clientele
Responsibilities include, but are not limited to:
Relationships with Potential Patients
? Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone?encourages them to schedule an appointment
? Establishes value of Nationally recognized physician services and why the fees are a good value
? Schedules cosmetic patients in NexTech; asks them how they heard about the practice and enters required demographics
? Monitors and coordinates the ?no show prevention? program
? Schedules patient and skin care appointments into NexTech?keeps a ?cancellation list? and calls patients if their appointment can be rescheduled to an earlier time
? Sends information to callers?those who schedule and those who don?t?and tracks activity in NexTech
Manages online inquiries in prompt and professional manner
? Maintains a chronological file of correspondence
Surgery Counseling, Scheduling, and Follow Up
? Reaches out to consultation patients prior to scheduled consultation to establish relationship.
? Greets cosmetic patients, when possible, at the front desk
? Answers questions regarding surgery and shares pertinent photographs of procedures relevant to respective patients
? Discusses fees and financial policies with cosmetic patients after their consultation?provides written information and answers patient questions, schedules follow up phone or face to face appointment when appropriate,
Sends follow-up letter/email to all new patients sends surveys and compiles and summaries survey results; Implements solutions to any issues arising from patient feedback and surveys.
? Maintains a consultation binder with the following: Tracking information about patients who consulted/scheduled surgery, and generate appropriate reports, analysis reports, discusses monthly with surgeon and makes recommendations
? Schedules all surgeries (cosmetic and reconstructive) ?coordinates patient pre-operative paperwork, Health & Physical, examinations, and lab work, and confirms written consent for procedures
? Collects surgical scheduling deposits and posts transactions into NexTech
? Ensures patient photos are transferred and archived after consultation
? Can take photographs for the surgeon, request photo release from patients when appropriate
? Reviews surgery and procedure schedule with a goal of using 85-90% of surgical block time and 100% of procedure times. Track metrics on a weekly, monthly and quarterly basis.
? Accompanies the surgeon while she is examining cosmetic patients, if a chaperone is needed
? Screens patient phone calls postoperatively, advising the patient or deciding whether a telephone conversation or appointment with the surgeon is necessary
? Ensures that cosmetic fee balances are paid at least four weeks prior to surgery
Effective audits and optimizes appointments.
Practice Enhancement & Marketing
? Ensures all information about cosmetic patients is entered into tracking or computer system accurately; generates monthly reports for meaningful review
? Calculates the practice?s Patient Acceptance Rate (PAR) of consultations to surgeries
? Ensures marketing information capture tools are understood and used by all staff, and that staff are trained properly in using marketing collateral materials
? Maintains the database of patients who have had surgery, and who haven?t, and targets specific mailings about other services and the skin care program
? Monitors, and if appropriate maintains and updates, patient brochures and website, all social media, highlighting information about the surgeon, surgical and non-surgical services, skin care, and the overall perception of the practice
? Initiates and/or implements practice enhancement programs?tracks revenue and discusses progress with the surgeon.
? Maintains relationships with key referral sources and develops new referral sources
? Represents the practice, and actively promotes practice services
? Coordinates skin care promotions with the aesthetician
? Develops and e-mails/mails patient satisfaction surveys and monitors results post-consult and post-op
? Coordinates seminars?arranges room, food, and information to be distributed?then follows up with attendees on the phone or in writing
? Maintains professional-looking photo books?making suggestions to the surgeon about which patients to add
? Participates in handling requests from the practice Web site; checks and responds to email messages that come from the site within guidelines
? Actively involved as collaborative team member in launch of new technologies or services within the practice, including participating in marketing and implementation strategies
? Actively involved as collaborative team member in a quarterly newsletter
? Actively involved as collaborative team member with social media activities of the practice including online branding and marketing and web presence
? Ensures all marketing materials portray an upscale, professional image and are brand consistent
Other
? Maintains proficiency with practice management and imaging software and Internet applications
Oversees daily operations and flow. Assists with patient processing. Meets with all recurring patients to revisit their treatment plans, actively participates with skin care product and services sales
Maintains inventory and related activities
? Maintains patient confidentiality by following the HIPAA Compliance Plan established by the practice; releases PHI in accordance with the practice's HIPAA Compliance Plan, attends regular HIPAA training, maintains data security by refusing to share computer and other passwords, and reports all identified and suspected HIPAA violations to the Privacy Officer
? Maintains the coding compliance standards set by the practice; understands the practice's Coding Compliance Plan, attends annual training, and reports all identified and suspected coding compliance violations to the Compliance Officer
? Attends ASPS, ASAPS, APSA, KZA training or other educational courses as requested. Communicates training and development needs in a proactive manner.
? Meets with the surgeon monthly to discuss the results of marketing programs, and review meaningful data
? Performs all other tasks requested by the surgeon
Access to PHI (Protected Health Information)
This position has the authority to access all PHI, although the nature of the job does not usually require daily access to it. The nature of this position's access to PHI may require review of computerized schedules, computerized medical records, computerized and paper-based billing and reimbursement data, patient referral forms, lab results, tests, and encounter form data in order to analyze information, resolve a patient's unpaid claim or bill, or address another managerial or administrative issue.
Supervisory Responsibilities
This position does not have any supervisory responsibilities
Typical Physical Demands
Position requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.
Typical Working Conditions
Normal office environment. Occasional evening or weekend work.
