Job Description PROPERTY ADMINISTRATOR Responsibilities Administrative Daily Mail/open, scan into Nexus for billing, code, etc. Distribute mail to proper parties internally General Filing- ensuring all documentation is filed appropriately and via e mail files for respective buildings Prepare both messenger and express mail for Property Manager and Director of Property Management Accounts Payable Produce Manual Tenant charges for billing Investigate vendor statements through MRI and Nexus for payments Payroll- coordinate weekly attendance sheets and keep current on days used for building staff including union employees for distribution of monies to employees in January annually in accordance with Collective Bargaining Agreement Obtain W9’s from all vendors Responsible for ensuring all invoices for the property are coded, scanned and processed through the Nexus payables system Some buildings require tracking for electric consumption/prepare billing schedules on Excel worksheets Prepare Union notifications for building personnel changes Maintain monthly payment schedules for service contracts to remain current on bills for respective buildings. Operations Coordinate documents through to resolve violations with Property Managers and all follow up correspondence through to cure. Deal directly on all violations with Property Managers Insurance- prepare claims notifications to insurance brokers for incidents, maintain all current certificates of insurance for buildings, tenants, vendors. Tracking of all tenants and vendors insurance as well as ownerships. Coordinate staff class registration for FSD/EAP and on site testing Order Access Cards for security card systems at various buildings Order Directory Strips for various Buildings Coordinate Move/Out checklist for new leases and expiring, which include Welcome letter, electric notifications, short lease abstract, substantial completion letters, etc. Ordering of uniforms for building personnel Schedule Annual and five year CAT 1 inspections for elevators with vendors and third party witnessing company Maintain current schedule of contracts, master schedule of insurance for buildings, etc. Provide Building Memo’s for Holidays, fire alarm maintenance, etc. Tenant Relations Customer Service- provide superior customer service to all tenants, clients, contractors and vendors at all times Tenant Meetings- Plan agenda for meetings and have approved by Property Manager and Director of Property Management Contact Lists- maintain and update monthly tenant, employees and contractors contact lists including emergency numbers Company Description Commercial Real Estate Brokerage Company.
