Seeking a highly organized, personable, and extremely self-driven administrative individual to support and lead a Sales/ Booking Department within a Broadway booking agency.

FULL-TIME. EXPERIENCE REQUIRED. LONG-TERM APPLICATIONS ONLY, PLEASE. This is not an entry-level position.

Must be able to keep up with a fast-paced work environment that operates in real time.


This position requires availability between 8am-5pm on weekdays, as well as 2-3 possible additional hours on various evenings and throughout the weekend for communication and administrative duties. Remote work. Flexible schedule a plus. This position operates at home, at various locations, and on foot.

Must be technologically savvy. iPhone, iPad, Mac. Must be able to problem solve and retain information and policies with ease and determination.


Specific responsibilities include:



· Scheduling lessons, working with external and internal contacts to coordinate, and adjusting ongoing daily changes to events

· Overseeing multiple artist’s calendars, as well as the full company calendar

· Ensuring artists and students are prepared for all lessons, communicating any changes in real time.

· Using discretion with communication, information, and correspondence, and keeping confidentiality. Confidentiality and non-compete agreement requirement.

· Maintaining and organizing company contacts and handling daily correspondence with efficiency.

· Managing artist and student correspondence, reading and prioritizing email and text messages (determining what can be handled independently) and drafting correspondence

· Answering and making phone calls

· Preparing spreadsheets (Excel), summarizing reports and daily tasks.

· Maintaining files

· Operating booking software and updating financial information.


Requirements:


The ideal candidate will have experience handling a wide range of executive support related tasks and will be able to work independently with little supervision. The ability to interact with contacts of all levels, sometimes under pressure, remaining proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Strong decision making ability and attention to detail are equally important. Must be simultaneously assertive and diplomatic, and able to work as part of a team.


· Strongly prefer: 2+ years’ experience in administrative roles

· Excellent calendar management skills

· Exceedingly well organized and flexible

· Excellent written and verbal communication skills

· Demonstrated ability to meet deadlines, solve problems proactively and work well under pressure on multiple projects

· Basic analytical ability, find solutions to various administrative problems, and prioritize work

· Great attention to detail, proactive, self-motivated

· Positive attitude and team player

· Knowledge of theatre and the arts in NYC a plus

· High level of expertise and knowledge of Mac, iPhone, iPad, Word, Excel, Dropbox

· Prior experience with Simply Book Me a plus
